Teams archive

New contentACCESS version brings a lot of new features for Teams archiving.

✓ Private channels archiving

With this contentACCESS version, you will be able to archive channel conversations and private channel files. Correct permission trimming is applied for private channels in contentACCESS client apps and in search results, so only the valid people will be able to access it.

✓ Automated teams provisioning

Teams to be provisioned (and later archived) can now be added automatically to the provisioning job! You don’t need to worry that new teams containing important information won’t be archived anymore. The new rule-based provisioning is automatically picking up the newly created teams and categorizing them into Team groups. For these groups, the correct archiving rules are then applied. Simply select the Automated method and specify the desired filters, based on which the teams will be added.


✓ Teams archive licensing

Teams archive is licensed based on the number of users that are members of a team. When a new user is added, a license (if the tenant has any free licenses left) is automatically assigned to him. Only teams with all members licensed can be archived, so if the license is revoked from a user, he needs to be removed from the team so it could be archived. Next to that, the system will also provide useful size information about your archived teams.


✓ SharePoint modern authentication

From now on, Teams archive will be using only SharePoint modern authentication to access the SharePoint data belonging to a team. This way of authentication is much more safe, secure and saves a lot of work for the administrator.

Important: If you are updating from contentACCESS 4.0, SharePoint settings in Teams archive System settings must be adjusted – only modern authentication is supported in version 4.1.

✓ Bugfixes and improvements

SharePoint archive modern authentication

When specifying a new SharePoint root connection, now it is possible to select also Modern authentication. The modern authentication ensures higher security and better transparency. It also helps the administrator get rid of the obligation to set the necessary permissions for the SharePoint archive superuser on all site collections. Through the modern authentication, all site collections are available for archiving.

Mail app – search everywhere

The new contentACCESS Mail app makes all data available and searchable from the whole contentACCESS on all Outlook platforms (Outlook Mobile, Outlook on the Web, Outlook on MAC). The extended search capabilities allow selecting from 3 options – My mailbox (the mailbox of the currently logged in user), All mailboxes (all mailboxes the user has access to) and Everywhere (every accessible archive).

Teams archive in Tenant provisioning tool

The Tenant provisioning tool has been enriched with the option to automatically deploy also Teams archive module for a tenant.

Share app improvements

✓ Stop sharing

With this function, the owner (the user who shared the file) can stop the sharing of his file and disable downloading of the shared data by anyone else. He can also re-enable the sharing later.


✓ Re-send invitation

If recipients haven’t accepted the invitation to contentACCESS yet, it is possible to re-send it directly from the Share app.


✓ Switch between public and private sharing

Have you accidentally shared a file with everyone instead of just recipients? Or do you want to make a file accessible for more than just the recipients? You can easily change it with this feature!

Update from older versions

✓ Important: If you are updating from contentACCESS 4.0, SharePoint settings in Teams archive System settings must be adjusted – only modern authentication is supported in version 4.1.

✓ Update path: Update is supported from contentACCESS version 3.1 and later. Older versions must be first updated to contentACCESS 3.1 and then from version 3.1 to the latest version.

If the update is done from an earlier version than 3.3, then some new features must be configured manually after the update.

One of these features is the Task runner, which requires a resource storage, where the export files will be stored. This storage must be configured in System -> System -> Resource storage settings. This store must be accessible by all contentACCESS nodes inside a cluster, so it is highly recommended to use a network share.

✓ Mail app activation: As a result of redesigning the Mail app activation method in contentACCESS Email Archive, new permissions “Org Marketplace Apps” and “User Options” are needed for the super user in order to work.

✓ Outlook forms: If the update is done from an earlier version than 3.4, then as a result of some internal changes in the email archive shortcut format, the Outlook forms must be updated to the latest version to maintain the correct functionality. For contentACCESS 3.8, Outlook forms must be also republished due to authentication changes.

✓ Remote file archiving: While updating from contentACCESS 3.6, existing remote agent definitions will not work, since some of the database structures have been moved from file system archive database to the tenant database.

✓ SQL server support: The minimum required SQL version was increased from MS SQL 2008 to MS SQL 2012.

✓ Redesigned filtering: The old filtering was converted to the new format. Therefore, we recommend checking all job filtering settings after the update from 3.7 or earlier.

✓ .NET Framework support: The minimum required .NET Framework version was increased in contentACCESS 3.7 from .NET 4.5 to .NET 4.5.2.
